Subject: Vendor Instructions for LRIG Philadelphia May 19, 2026 Exhibit
Dear LRIG Philadelphia 2026 Exhibitors,
We are looking forward to seeing each of you on May 19th. Booth set-up time is from 1 to 4 PM. Linda Gary will be available at 1 PM to help with the set-up. Booth breakdown will be at the conclusion of the show, from 8:00 to 9:00 PM.
We will provide a 6 X 2.5-foot table and 2 chairs. The Alloy has implemented a linen-free policy which means that they will not provide a table covering/skirt. However, you are welcome to bring your own covering and/or backdrop if you like. The entire space is carpeted.
Each booth will have access to electricity sufficient to power a computer/big screen TV. If you are bringing robotic equipment, please let us know of any special setup and/or power requirements.
SHIPPING GUIDELINES (provided by the hotel)
The following information is intended to assist you in shipping your registration materials, convention supplies, exhibit materials and other items to and from the Alloy, a DoubleTree by Hilton.
We recommend sharing this information with all persons that will be shipping items for your convention.
Shipping Instructions through a common carrier such as FedEx, UPS or the USPS:
Shipping material to and from the Alloy, a DoubleTree by Hilton, is the sole responsibility of the organization or exhibitor and all arrangements for shipping both to and from the Alloy must be made by the organization or exhibitor prior to the shipment of all materials.
All shipments should be clearly addressed as follows:

All shipments must be PREPAID by the shipper.
All shipments should be sent no MORE than five (5) days in advance due to storage constraints at the hotel.
Pickup of all items must be within 24 hours of conclusion of event or a $250 storage fee will be charged.
Items requiring pickup must be securely packaged, shipping labels attached, arrangements for pickup by carrier of choice and payment be arranged by shipper.
The Alloy will store all items in one designated location and direct carriers to the location for pickup.
LRIG Philadelphia has made arrangements with the Alloy to store all packages for our event in a specific room until the day of the event (no MORE than 5 days in advance). Items need to be made ready for pick-up the day of the event (after the exhibit is over), but the pick-up can happen the next day (May 20). You just need to make the arrangements. The hotel staff will move the items from the exhibit hall to the designated storage room.
Each booth occupant should register as an attendee prior to the event using this link: LRIG Philadelphia Annual Vendor Show 2026. This is to provide accurate information to the hotel regarding our expected turnout. We do not limit the number of vendors per booth.
Novel Technology Presentation instructions
Presentation Details:
● Presentations may be delivered by an application scientist, a customer, or the vendor's sales representative.
● Time slots for presentations are limited and will be allocated on a first-come, first-served basis.
Scheduling and Promotion:
● Presentation topics and times will be listed on our website and displayed at the registration table for all attendees to see.

● To secure a presentation slot, please submit the following details by April 30, 2026:
